If you receive a negative probationary evaluation, it is absolutely essential that you write a Letter of Rebuttal within two weeks of receiving the negative report. If you end up being rejected on probation and file an appeal, the State Personnel Board will question your failure to respond to your supervisor's criticisms in a timely manner and develop a plan to correct your deficiencies.
Your letter of rebuttal should:
- Be careful of your tone. The response of your letter should be respectful and professional. Avoid whining or blaming others. Remember that other potential employers may review your letter and you want to make the best impression on them.
- Should address the criticisms of your supervisor and the steps you are actively taking to correct your performance problems.
- Remind your supervisor that you have requested additional training, peer mentors, or up-to-date policies -- help that is critical to your success.
- Indicate that you want to do everything possible to pass probation.
- Have your workplace steward review your letter before you submit it. They may catch mistakes or be able to recommend improvements to your letter.
- Proofread your letter carefully. Errors in spelling and grammar will be a black mark against you.
